Accounting Coordinator
Job Title: Accounting Coordinator
Reports to: Accounting Manager
JOB SUMMARY:
The Accounting Coordinator is a vital part of the Neighborhood Legal Services fiscal team. The Accounting Coordinator supports the day-to-day financial activities. The position demands confidentiality, adherence to deadlines, strong communication skills, and accuracy in numerical entries. The Accounting Coordinator will demonstrate: initiative in cost-cutting efforts; strong organizational and time-management skills; and exceptional attention to detail.
This position is on-site in the Pittsburgh office a minimum of 3 days a week.
DUTIES/RESPONSIBILITIES:
- Support payroll processing, accounts payable and accounts receivable processing
- Responsible to prepare, coordinate, review, and process cash receipts and cash disbursements.
- Responsible to accurately code invoices & check requests for payment, print checks, prepare for mailing; and void checks when needed.
- Review and confirm compliance of submitted documentation for check/expense statements.
- Process payment for medical records via credit card for CIOX, VERISMA & MRO and other vendors as required
- Prepare bank deposits and may be required to physically deposit at the respective bank
- Post bank deposits into NetSuite via appropriate General Ledger accounts
- Responsible for maintenance and production of union reports to National ICLAW
- Responsible for maintenance and production of ALERUS 403B reports, including uploading of employee 403b contributions on ALERUS website.
- Prepare quarterly Multiple Worksite Report (all offices) for Department of Labor – April 15th/July 15th/Oct. 15th/Jan. 15th
- Prepare year end 1099-Misc./1099-NEC tax forms utilizing the NetSuite accounting system
- Maintain FSA-HRA payout data in collaboration with medical provider
- Maintain and file all accounting related supporting documentation
- Responsible to maintain and order all office supplies
- Resolve disputes with vendors
- Input monthly utility usage and financial data (Duquesne Light, Peoples Gas & PWSA) into Energy Star (cost saving initiative)
- Certify intern hours are confirmed and accurate in Legal Server prior to payroll processing.
- Reconcile all AMEX receipts to monthly AMEX statements; scan to AMEX file
- Collect monthly language line usage forms from employees to support the language line invoice
- Provide all supporting resources and documentation for annual audit.
- Contribute to accounting department initiatives and strive for ways to improve and/or expedite processes
- Perform all other tasks as required by the Accounting Department
REQUIRED SKILLS/ABILITIES:
- Computer/keyboarding skills, including proficiency in Microsoft Office, Outlook, SharePoint,
- Ability to learn and effectively navigate NetSuite, Paycor, and Legal Services Systems
- Excellent telephone and customer service skills
- Proficient in basic accounting skills;
- Strong organizational and time management skills
EDUCATION AND EXPERIENCE
- Associates Degree, comparable certificate, or 3-5 years of accounting or bookkeeping experience.
- Proficiency in Microsoft Office products
- Prior accounts payable, payroll, and/or purchasing experience required
- Knowledge of NetSuite, Paycor, Legal Server, and/or SharePoint is a plus
- Legal Aid non-profit background is a plus
- COVID Vaccination documentation required
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Facilities and Maintenance Position
Neighborhood Legal Services is a nonprofit law firm located in the cultural district of downtown Pittsburgh. Our mission is to fight for justice for our low-income clients and see —come be part of the solution! Demanding work in a supportive and collaborative atmosphere. The facilities/maintenance employee will provide general maintenance and building upkeep for the Pittsburgh Office on Penn Ave. This role of a dedicated maintenance technician will perform general maintenance and repair work in our Pittsburgh Office across the facility and equipment.
DUTIES/RESPONSIBILITIES
- Perform general maintenance and basic repairs.
- Maintain supplies to restroom facilities and water coolers.
- Maintain the office supply inventory and deliver supplies to various departments and courthouse staff as requested.
- Prepare offices for a new occupant including cleaning, painting and office supplies.
- Relocate and/or store office equipment, and furniture.
- File or pull a “dead” file as requested.
- Proactively inspect facilities and equipment to ensure optimal functioning; alert management of facility concerns or repair needs.
- Conduct preventative maintenance throughout the building.
- Ensure the building entrance is free of hazards: leaves, snow, ice etc.
- Troubleshoot and repair minor structural issues (such as flooring, sinks, walls, and minor plumbing issues).
- Coordinate with vendors regarding on-site inspections and repairs.- (HVAC, Elevators, etc.)
- Support a culture of safety and collaborate with staff on service requests.
- Maintain accurate records of maintenance requests.
- Other duties as requested.
REQUIRED SKILLS/ABILITIES:
- Basic knowledge of HVAC, plumbing, and electrical systems preferred;
- Experience using hand/power tool;
- Experience with painting;
- Strong troubleshooting abilities;
- Strong communication skills.
- Basic computer abilities for interoffice communications and record keeping
- Ability to travel to outer offices when necessary, Beaver, Butler and Lawrence Counties.
EDUCATION AND EXPERIENCE:
- High school diploma or GED; 1+ years of maintenance, construction, plumbing, or electrician experience strongly preferred.
- Painting experience a plus!
PHYSICAL REQUIREMENTS:
- Must be able to lift up to 20 pounds at times.
- Move heavier items on a dolly.
- Ability to perform manual tasks.
- Must be able to move into around the building spaces to conduct inspections and minor repairs.
WORK SCHEDULE:
- Part-time position working 15-20 hours per week.
- Transportation reimbursement
