Who We Are: 

The Pittsburgh Hispanic Development Corporation (PHDC) was founded in November 2012. PHDC is a community development corporation (501 C 3) dedicated to providing economic growth for Hispanics in the Pittsburgh region and attracting Hispanic immigration and investments to the area.

We are a community development corporation with no geographic boundaries, focusing on racial equity in the Pittsburgh metropolitan area. We are dedicated to improving the lives of Hispanics in the region, increasing the Hispanic population, supporting existing and new Hispanic businesses, and increasing Hispanic investment in the region.

 

Position Overview: 

We are seeking an Independent Consultant for the role of Bilingual Events Coordinator Consultant. This consultant will be a highly skilled event coordinator able to organize many meetings, conferences, and events throughout the year to support the goals of the Pittsburgh Hispanic Development Corporation.

The Bilingual Events Coordinator Consultant will work to make these gatherings efficient and cost-effective. The ideal candidate will be able to evaluate and negotiate with vendors, coordinate the licenses and permits required for every venue and manage communications with attendees, vendors, speakers, and client stakeholders.

 

Responsibilities: 

As a Bilingual Events Coordinator Consultant, you will:

  • Develop a complete understanding of the requirements for every event and plan accordingly.
  • Book venues, schedule guests, draft and finalize contracts, and be in charge of all the logistics.
  • Develop content for event materials and work with graphic designer to produce them.
  • Organize personnel as needed across all functions of an event (ex:  registration, catering, translation services, audio/visual).
  • Handle day-to-day administration of events and programs, including vendor monitoring, setting up, reservations, attendee participation, registration counts, and issues resolution.
  • Maintain an updated inventory of materials needed for events, like tents, tables, mantles, sound, and audiovisual resources.
  • Always keep budgets and timelines under control.
  • Develop and work for overall fundraising goals and subgoals for tickets sold, new donors and more.

Qualifications: 

We are looking for a candidate who:

  • Is competent in communication, organization, and analysis skills.
  • Has experience in event planning or event coordination in a corporate environment.
  • Has a proven track record of creative, successful events.
  • Has experience working with colleagues in graphic design, sales, marketing, and communications.
  • Has excellent organizational, communication, negotiating, and multitasking skills.
  • Able to remain calm under pressure and maintain a customer-service mindset.
  • Able to speak and write in Spanish and English at a minimum intermediate level.
  • Has experience using software programs such as Microsoft Office Suite, Google Docs, and Google Suite, as well as social networks.

 

Preferred Skills and Experience: 

  • Portuguese is a plus.
  • Extensive knowledge of social network administration.
  • Proficiency in event management software is a plus,

Additional Information: 

  • Must be willing to commit 20-30 hours per week.
  • Position will start immediately.
  • As a Bilingual Events Coordinator Consultant, you can work no more than 35 hours per week.
  • Contract renewal is available and will be considered based on availability and necessity.
  • Hours worked for PHDC or PHDC Housing events will be compensated, but are not included in the weekly hour total (which cannot exceed 35 hours)
