Job Summary: 

This position’s responsibilities are divided between two departments: 80% general administrative work and 20% development support.

 

The Administrative Coordinator will perform a variety of administrative and provide basic tech and clerical support for the daily functions of the organization. Duties include scheduling & coordinating meetings and activities (internal & external); preparing materials for new employees; maintaining up-to-date organizational databases and files; generating presentations, surveys, meeting minutes; working on special projects; and supporting fundraising and communications efforts using Google Suite, Salesforce, and other programs as needed. This position has the opportunity for professional development within the organization. This position reports to the Chief of Staff.

 

Duties and Responsibilities: 

  • Administrative support to Global Links management & development efforts
  • Manage Executive Director and Chief of Staff schedules
  • Field all general inquiry phone calls/emails/visitors and route to appropriate staff
  • Sort incoming mail and prepare outgoing mail
  • Coordinate and support communication & meetings with Board of Directors
  • Maintain and update organizational documents, including Board of Directors files
  • Maintain office supplies & equipment stock per our environmental & budgetary guidelines
  • Prepare and facilitate orientation of staff on all things related to the office (welcome packet,

email/computer/Salesforce/Google/phone set-up, etc.)

  • Draft correspondence and reports for senior management
  • Meeting and small event management (scheduling, set-up, planning, invitations, etc.)
  • Data entry and contact management (clean-up of duplicate entries, entering post-event notes,

updating contacts, etc.)

  • Manage software/tech programs (licensing and user accounts)
  • Provide basic technical support
  • Other duties as needed

Required Skills and Abilities:

  • Strong understanding of Global Links mission and programs
  • Office/administrative support and/or customer service experience
  • Strong organizational and communication skills, both written and oral, fluency in written and spoken English
  • Detail-oriented
  • Self-motivated and able to work well in a team environment
  • Ability to prioritize in a fast-paced environment
  • Proficiency in or willingness to prioritize learning Google apps & Salesforce
  • Ability to lift up to 15 lbs. and willingness to do some manual work (lifting boxes, etc.)
  • Flexibility, adaptability, and problem-solving skills

 

Preferred Skills and Abilities: 

  • Experience with Salesforce or other customer relationship management software
  • Experience with Microsoft and Google applications

 

Compensation: $19-21/hour plus paid time off and competitive benefits package.
